Our policy in one sentence:
We never sell or share your data. EVER.
Not to advertisers. Not to data brokers. Not to "trusted marketing partners." Your information exists in our systems for exactly one purpose — supporting you — and for nothing else.
1. Who we are
My Admin ("we," "us," "our") provides managed IT, networking, cybersecurity, and smart home integration services to businesses and residential clients in the Phoenix metropolitan area. This policy covers information we collect through our website (myadminaid.com) and in the course of providing our services. 2. Information we collect
We collect only what we need to deliver our services:
- Contact information — name, company, email address, phone number, and service address, provided when you contact us or become a client.
- Service and account information — details about your IT environment, such as device inventories, network configurations, software licenses, and support ticket history.
- Billing information — records needed to invoice you for services. Payment card processing is handled by our payment processor; we do not store full card numbers on our systems.
- Website information — basic technical data such as browser type and pages visited, used only to keep the site working and secure.
EXAMPLE
When you fill out our "Request a free IT assessment" form, we receive your name, company, email, phone, and message. That information goes to our service inbox so an Admin can respond to you — and nowhere else. It is not added to third-party marketing lists, and we don't buy or append data about you from data brokers.
3. Data we access while providing IT services
This is the part most IT companies bury, so we'll say it plainly: managed IT work sometimes requires access to your systems — servers, workstations, email platforms, backup archives, and network equipment. When we have that access:
- We access client systems and files only as needed to perform the work you've engaged us for.
- We do not browse, copy, review, or analyze the contents of your files, email, or databases beyond what a specific support task requires.
- Credentials you entrust to us are stored in an encrypted password management system, not in spreadsheets, notes, or email.
- When our engagement ends, we return or securely dispose of your credentials and data in our possession upon request.
EXAMPLE
If we're troubleshooting your email server, we may need to open a specific mailbox to verify mail flow is restored. We look at what the task requires — headers, delivery status, a test message — and nothing more. We don't read your correspondence, and we don't retain copies of mailbox contents after the ticket is closed.
4. How we use your information
- To provide, maintain, and support the services you've engaged us for.
- To respond to inquiries, schedule work, and communicate about tickets and projects.
- To invoice for services and maintain business records required by law.
- To monitor the health and security of systems covered by a managed service plan.
That's the whole list. We do not use your information for advertising, profiling, or training third-party systems, and we never sell it — see the sentence at the top of this page.
5. When information may be disclosed
"Never sell or share" means no marketing, no brokers, no monetizing your data. There are a small number of situations, standard to any business, where limited information may need to be disclosed:
- Service delivery vendors acting on our instructions — for example, a cloud backup platform that stores your encrypted backups, or the payment processor that handles your invoice payment. These vendors act on our instructions to serve you, are bound by their own confidentiality obligations, and receive only what the service requires.
- Legal requirements — if we are compelled by a valid subpoena, court order, or other legal process. Where lawfully permitted, we will notify you before disclosing anything.
- Safety — if disclosure is necessary to prevent imminent harm to a person or to investigate fraud against us.
EXAMPLE
If your managed plan includes off-site backup, your data is stored encrypted with a commercial backup provider. That provider hosts ciphertext on our instructions — it has no right to read, mine, or market against your data, and neither the provider nor we will ever sell it. That's infrastructure, not "sharing."
6. How we protect your information
- Encryption in transit and at rest for client data and backups wherever supported.
- Multi-factor authentication and least-privilege access on our own systems and tools.
- Encrypted credential vaults for all client passwords and keys.
- Security is our trade — the practices we recommend to clients are the practices we run ourselves.
No system is perfectly secure, but if a breach of our systems ever affects your information, we will notify you promptly and tell you plainly what happened, what was affected, and what we're doing about it.
7. Data retention
We keep client records for as long as you're a client and as long afterward as tax, accounting, and legal obligations require. Support ticket history is retained so we can reference past work on your systems. You may request deletion of your information at any time; we'll honor it except where retention is legally required, and we'll tell you which is which.
8. Your rights and choices
Whoever you are and wherever you live, we extend the same rights to all clients and site visitors. You may:
- Request a copy of the personal information we hold about you.
- Ask us to correct inaccurate information.
- Request deletion of your information, subject to legal retention requirements.
- Opt out of any non-essential communication with a single reply.

9. Cookies and analytics
Our website uses only the minimal technical cookies needed for the site to function. We do not run third-party advertising trackers, and we do not participate in cross-site tracking or ad networks.
10. Children's privacy
Our services are for businesses and adult residential clients. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
11. Changes to this policy
If we update this policy, we'll change the "last updated" date at the top of this page and, for material changes, notify active clients directly. One thing will not change: we never sell or share your data. Ever.
